Jennifer’s vision is to compete with giants like Ticketmaster using AI native technology, integrated data, and premium experiences. The constraint: VOW’s engineering team was already fully committed to a major platform migration.

The challenge

VOW needed AI powered features that could meaningfully reduce operational burden without derailing the core rewrite of their platform. As CTO Justin Morris put it, “It’s hard to do a rewrite and AI at the same time.”

At the same time, enterprise clients such as HBO and NBC required strict security reviews for anything that touched guest data. Any AI solution had to respect those constraints, plug into the existing system, and avoid triggering lengthy security vetting or a full rebuild.

The operational burden

Two workflows consumed a disproportionate amount of time and limited VOW’s ability to scale.

Floor plan processing

Event organizers send floor plans in many different formats for stadiums, theaters, and banquet halls. Each venue has its own layout and standards, and VOW’s team spent significant time manually recreating these plans, identifying tables, seats, and sections.

As Jennifer described it, the team was spending too much time building floor plans, and this had become a major issue for the company.

Guest list management

Guest lists arrive as CSV files, PDFs, and other formats, each with different field names and structures. Mapping these lists into VOW’s internal system required extensive manual work and careful validation.

Unlike fixed stadium seating, event spaces are constantly reconfigured. There is no standard format, no consistent labeling, and no universal approach, which makes manual data work even more painful.

Enterprise constraints

Security expectations from enterprise clients shaped the approach. AI that directly touched guest data would trigger extensive reviews and approvals.

The solution needed to:

What we built with Empromptu

Floor plan ingestion and interpretation

An AI system that ingests PDF or PNG floor plans from any venue type and automatically recognizes tables and seats. It outputs structured JSON that VOW’s system can use and provides a correction interface for validation.

As the feature evolves, it will detect additional elements such as walls, stages, green rooms, and audio or visual areas.

Guest list ingestion and mapping

An intelligent uploader that accepts guest lists in CSV or PDF format and automatically maps fields to VOW’s data model. For unmatched fields, it supports manual mapping and can ask clarifying questions to understand the list’s structure.

This replaces hours of manual data entry and cross-checking.

Stadium row recognition

For large stadium events, a specialized workflow defines the first row and direction within each section, then automatically populates the remaining rows based on geometry. It links row data to set information in the JSON output and handles irregular spacing and seat counts with precision.
